Nature of this policy

This privacy policy (“Policy”) is between Viva GreenFields (“we”, “us”, “our”), an agri commodity trading firm with its registered office at Flt L111/112, H.No. 503, Siva Balaji Arcade, Sri Sai Nagar, Vasanth Nagar Colony, Nizampet, Hyderabad, Telangana 500118 (GSTIN 36AQTPA0875G1ZP), and every visitor or enquirer who uses vivagreenfields.com (the “Website”).

“You” means any person who browses the Website, submits a contact form, sends a product enquiry, chats on WhatsApp from our link, or logs in to a staff account.

This Policy is meant to tell you: (1) what information we collect; (2) why we collect it; and (3) when we may share it. It is written for a wholesale trade desk — not a consumer marketplace or payment app. We do not take card payments on this Website.

By using the Website or sending an enquiry, you confirm that you have read this Policy and agree that we may collect, store, use and share information as described here, in line with the Information Technology Act, 2000, the SPDI Rules, 2011, and the Digital Personal Data Protection Act, 2023 as they apply to us.

The nature of data we collect

Personal data is information that can identify you or your firm. On this Website that typically includes:

  • Name, company name, city and state
  • Indian mobile number and email address
  • GSTIN, if you choose to give it
  • Commodity, grade, quantity, packing and destination you request
  • Any message you type in a form or send on WhatsApp / email
  • IP address and the time of your request, as recorded by the hosting server

Non-personal data cannot reasonably identify you on its own. We may record:

  • Browser type, device type and approximate region
  • Pages viewed and whether you use light or dark theme (saved in your browser)
  • Referral source (for example, that you opened the site from a search result)

We do not ask for date of birth, gender, Aadhaar, PAN, bank account or card numbers on the public Website. Staff login credentials are collected only for authorised desk users.

How we collect your data

  • When you submit the contact form or the product enquiry form
  • When you write to biz@vivagreenfields.com, call +91 95337 77466, or WhatsApp +91 95337 77466
  • When a staff member logs in to the internal desk (username and session only)
  • Automatically through the server and, where you allow it, cookies or local browser storage (for example theme preference, and on a local preview a copy of the last enquiry details so the form can be filled faster)

We do not run third-party advertising networks on the Website. We do not connect social-login or payment gateways on the public pages.

Authenticity of collected data

You are responsible for the accuracy of what you send us. You confirm that you are entitled to share that information (including your firm’s GSTIN and contact details) and that doing so does not infringe anyone else’s rights. If a quote or dispatch is delayed because the mobile, GSTIN or destination was wrong, that delay is not our breach.

Why we collect your data

We use personal data only for lawful trade-desk purposes, including:

  • Responding to commodity enquiries and sending a quote
  • Confirming grade, packing, quantity and delivery location
  • Issuing GST invoices and dispatch papers when a deal is booked
  • Calling or messaging you on the number you gave
  • Improving the Website (for example, seeing which commodity pages are used)
  • Keeping the site secure and investigating misuse
  • Complying with tax, GST, accounting and other legal duties

We do not sell enquiry lists. We do not use your number for unrelated bulk marketing. We may send a follow-up on the same commodity you asked about.

Sharing and disclosing data

We may share what we need to complete a trade or run the site:

  • Hosting and email on our GoDaddy / cPanel account so your form can reach the desk
  • Transporters, millers or origin partners when you have asked us to book a lot — limited to name, phone, destination and commodity details required for that load
  • Professional advisers (CA, advocate) under confidentiality
  • Government, GST, police or court if the law requires it

WhatsApp is operated by a third party. If you tap our WhatsApp button, Meta’s terms and privacy policy apply to that chat in addition to this Policy.

Third-party links

The Website may link to maps, WhatsApp, or other sites we do not control. Their privacy practices are their own. Read those policies before you share extra data with them.

Security and retention

We use reasonable technical and organisational steps to protect enquiry mail and the staff login. No website is perfectly secure. You agree that internet transmission has residual risk.

Enquiry records are kept for as long as needed to quote, supply, invoice, handle a dispute, or meet tax and legal retention. We then delete or anonymise them where we no longer need them. Theme preference stays only in your browser until you clear it.

Your choices

You may ask us to correct or delete personal data we hold, or to stop using it for follow-up, by emailing the grievance contact below. We may still keep what the law requires (for example an invoice). If you withhold contact details, we cannot send a quote.

You can block cookies in your browser; the site will still load, but theme preference may reset.

Business or asset transfers

If the trading firm is reorganised, sold or merged, enquiry and customer records may pass to the successor so they can continue the desk. They will be expected to protect that data in a manner consistent with this Policy.

Updates

We may revise this Policy. The “Last updated” date at the top will change. Continued use of the Website after a change means you accept the revised Policy. Related pages: Terms & Conditions and Copyright.
